# AI receptionists for dental offices

A dental office needs more from an AI receptionist than most businesses. Patients share health details on the phone, so HIPAA applies, and the calls that matter most are new-patient bookings and emergencies. We put the HIPAA question first: below, vendors that state HIPAA compliance or a BAA on their own site come first, then booking, transfers and Spanish.

> **We make Vocenya. Here’s how we rank, and where others may fit you better.** Every vendor here, ours included, is shown with the same fields, sourced from its own website and ordered by the same published rule. Nobody pays to be listed. Where another tool may fit you better, we say so.

- **A signed Business Associate Agreement** (9 vendors publish it): An AI receptionist that hears or stores patient information on your behalf is a business associate under HIPAA, and your practice needs a written agreement with it. Check which plan includes the BAA; for several vendors it is an add-on or an enterprise feature.
- **Booking into your schedule** (18 vendors publish it): New-patient calls convert when the caller leaves with a time. Ask whether the receptionist can see your practice-management schedule or only a separate calendar.
- **A path to a person** (17 vendors publish it): A patient in pain or a worried parent should reach your team or on-call dentist, not a voicemail.
- **Spanish for your patients** (7 vendors publish it): If part of your patient base speaks Spanish, check that Spanish is included on the plan you would buy.

## What HIPAA actually requires here

Under the HIPAA rules, a vendor that "creates, receives, maintains, or transmits protected health information" on behalf of a practice is a business associate ([45 CFR 160.103](https://www.ecfr.gov/current/title-45/subtitle-A/subchapter-C/part-160/subpart-A/section-160.103)), and the practice must document its assurances "through a written contract" with that vendor ([45 CFR 164.502(e)](https://www.ecfr.gov/current/title-45/subtitle-A/subchapter-C/part-164/subpart-E/section-164.502)). A "HIPAA" badge on a website is not the same as a signed BAA, so the table notes the exact condition each vendor publishes. Checked 3 October 2026.

Also check what happens to texts: appointment reminders and call summaries sent by SMS should not carry clinical details unless the vendor says its texting is covered.

## Where Vocenya fits

Vocenya’s HIPAA mode is a $150/month add-on with a signed BAA, patient-safe texting and recordings kept in GH-controlled systems; in HIPAA mode it answers in English and Spanish. See [HIPAA AI receptionist](/hipaa-ai-receptionist), our [AI receptionist for dentists](/industries/dentists) page and the [HIPAA AI receptionist guide](/blog/hipaa-ai-receptionist-guide). If you need booking directly into your practice-management software, ask each vendor, ourselves included, which systems are supported today.

## Frequently asked questions

### Is an AI receptionist HIPAA compliant for a dental office?

It can be used in a HIPAA-compliant way when the vendor signs a Business Associate Agreement and handles patient information under it. Look for a stated BAA, check which plan includes it, and keep clinical details out of plain text messages.

### Which AI receptionists sign a BAA?

The table on this page lists, for each vendor, whether its own website states HIPAA compliance or a BAA and under what condition, with a link to the page and the date we checked it.
