4. **Test calls:** You and your team call it, try the hard cases and tell us what to change. We fix it before real callers reach it.
5. **Launch:** We switch your numbers over or set up forwarding, watch the first days of calls closely and stay on hand for changes.
6. **Ongoing tuning:** Every month we review calls, report what we changed and keep the receptionist up to date with new services, staff and hours.

## How custom solutions are priced

Every custom solution is quoted individually, after a discovery call. Quotes follow the same structure:

- **One-time build fee:** discovery, design, integrations, testing and launch. It depends mostly on the number of integrations and locations, and on any compliance or standalone deployment work.
- **Monthly fee:** the platform, a set number of included AI minutes and ongoing tuning, sized to your call volume.
- **Usage rates:** a per-minute rate for AI minutes beyond what is included and, if you use them, a per-call rate for GH Live human agents.

Your quote lists each line separately, with a timeline and the assumptions behind it. Nothing is billed until you accept it. This is the same structure most voice AI agencies and enterprise providers use: a build fee plus a monthly retainer.

## HIPAA-ready and standalone deployments

For healthcare, we deploy in HIPAA mode. Call recordings and transcripts stay in GH-controlled systems on AWS under our Business Associate Agreement, and we sign a BAA with you. Text messages never include patient details. HIPAA deployments use our Standard voices, because those are covered by the BAA.

For agencies, franchises and groups that need their own environment, we can scope a standalone deployment: a separate instance with your branding and its own numbers. Ask about it in the form and we will include what it takes in your quote.

If your contract needs uptime or response-time commitments, tell us what you need. We put agreed service levels in writing in your agreement rather than advertising numbers in advance.

## What stays with the AI and what goes to people

Every Vocenya receptionist identifies as a virtual assistant and never claims to be human. In a custom build, you decide exactly where the AI stops:

- Which calls it handles start to finish.
- Which calls it hands to your staff, with a summary.

### How long does a custom build take?

It depends on the scope. A receptionist with custom scenarios and one integration can usually launch in a few weeks. Projects with several integrations, many locations or a standalone deployment take longer. Your quote states the timeline before you commit to anything.

### How much does a custom solution cost?

Each project is quoted after a discovery call. Quotes have a one-time build fee, a monthly fee covering the platform, included minutes and ongoing tuning, and usage rates for extra minutes or human agent calls. Every fee is listed separately, and nothing is billed until you accept the quote.

### Which systems can you integrate with?

Vocenya books into Google Calendar, Microsoft 365, Acuity Scheduling, Jobber, Housecall Pro and ServiceTitan out of the box. For other systems, we build custom API tools that let the receptionist read and write data in your CRM, EHR, booking or field-service software during the call, as long as the system has an API we can use.

### Can you sign a BAA for a custom solution?

Yes. HIPAA deployments include a signed Business Associate Agreement, keep call data in GH-controlled AWS systems and keep patient details out of text messages. They use our Standard voices, which are covered by the BAA. Your practice remains responsible for its own HIPAA program.

### Can we put our own brand on it?

Yes, the receptionist can use your business name, greeting and persona. Agencies and groups that need a fully separate, white-label environment can ask for a standalone deployment, which we scope and quote as part of the project.

### Which languages can it answer in?

English, Spanish, Russian and Ukrainian today. The receptionist answers in the caller’s language. If you need another language, tell us in the form so we can say honestly what is possible.

### Do we have to sign a long contract?

Your quote states the terms. Typically the one-time fee is split between acceptance and launch, and monthly fees start at launch. If you just want to try Vocenya first, every standard plan has a 14-day free trial and no contract.

### Will you send us a quote automatically?
