# Calendly and Cal.com

Let your receptionist offer the open times of your Calendly or Cal.com event types and book callers straight in.

Connect Calendly or Cal.com in the portal under [Integrations](https://vocenya.com/app/integrations), tick the event types your receptionist may book, and tick **Book appointments here**. Only one integration takes bookings at a time.

Open times come from the scheduling tool itself, so your availability, buffers, minimum notice and limits there all apply. When a caller asks for an appointment of a length that matches one of your ticked event types, that type is booked; otherwise the first one you ticked is used.

## Calendly

- **Connect:** sign in with Calendly. Vocenya asks to read your user and event types and to create bookings.
- **Booking:** callers are booked directly through Calendly's Scheduling API, so Calendly sends its usual confirmations and calendar invites and runs your workflows, exactly as if the caller had used your booking page.
- **Location:** if the event type is a phone call to the invitee, the caller's number is used. Otherwise the event type's first location that suits a phone booking (your phone number, an address, or a video link) is used.
- **Paid plan needed:** Calendly only lets apps create bookings on paid plans (Standard and above). On a free plan, the first booking attempt marks the card **Needs attention**, and your receptionist goes back to taking the caller's details and sharing your booking link if you have set one. Upgrade Calendly, then reconnect.
- **Not passed:** answers to your event type's custom questions. Callers' notes stay in Vocenya.

## Cal.com

- **Connect:** paste an API key from Cal.com under Settings, then Developer, then API keys.
- **Booking:** callers are booked directly, with their phone number as the attendee's number and the reason for the call in the booking notes. Cal.com sends its usual confirmations.
- **Not yet supported:** cancelling or rescheduling a booking from a call. Your receptionist takes the request for your team instead.

## Callers without an email address

Both tools require an email address for every booking, and callers rarely give one on the phone. When a caller has none, the booking uses a placeholder address unique to their phone number (such as `caller-15125550147@calls.vocenya.com`), so confirmation emails for those bookings go nowhere. The caller's name and phone number are always on the booking.

## HIPAA mode

HIPAA-mode accounts can only connect a scheduling tool after confirming a Business Associate Agreement with it, and only the caller's name, phone number and appointment time are sent: never notes or the reason for the call. Calendly does not currently offer a BAA; Cal.com offers one on its enterprise plans.
