# Connect your calendar

**In short:** Connect Google Calendar, Microsoft Outlook, Acuity Scheduling, Calendly or Cal.com on the Integrations page. Your receptionist then offers callers open times and books them in.

With a calendar connected, your receptionist checks when you are free, offers callers two or three open times and books the one they pick.

## Connect it

Open **Integrations** in Vocenya. Only the account owner can connect integrations. Find your calendar under **Calendars and scheduling**:

| Calendar | How you connect |
| --- | --- |
| Google Calendar | Sign in with Google. |
| Microsoft Outlook Calendar | Sign in with Microsoft. |
| Acuity Scheduling | Sign in with Acuity, or paste your User ID and API key (in Acuity under Integrations, then API). |
| Calendly | Sign in with Calendly. Booking needs a paid Calendly plan. |
| Cal.com | Paste an API key (in Cal.com under Settings, then Developer, then API keys). |

If a card says **Coming soon**, it isn't switched on for your account yet. Ask us.

Then, on the connected card:

- Pick the calendar to use (Google, Outlook and Acuity).
- Pick the appointment types it may book (Acuity, Calendly and Cal.com). The first one you tick is the default.
- Tick **Book appointments here**.

Only one integration can take bookings at a time.

## How booking works

- **Google and Outlook**: it offers open times inside your business hours, at least an hour from now, and adds the appointment to your calendar with the caller's details. The caller doesn't get a calendar invite.
- **Acuity, Calendly and Cal.com**: it offers the times that tool shows your clients, and books through it. Calendly and Cal.com send their usual confirmations.

If a time is taken just before booking, it offers the next one. If booking fails, it takes the caller's details instead.

Calendly and Cal.com need an email for each booking. When a caller doesn't give one, the booking still goes through, but their confirmation email goes nowhere.

## HIPAA mode

You confirm you have a BAA with the calendar provider before connecting it. Vocenya only sends the caller's name, phone number and appointment time.

## Frequently asked questions

### Does the caller get a confirmation?

Calendly and Cal.com send their usual confirmations. If your plan includes texting and booking confirmations are on, Vocenya also texts one.

### Can I connect two calendars?

Only one integration can take bookings at a time.
