HIPAA mode

HIPAA mode is for healthcare practices. We sign a business associate agreement (BAA) with you, your receptionist uses BAA-covered voices, and alerts leave out callers’ details. It is $150 a month.

HIPAA mode is for practices that handle patient health information on calls. It is an add-on: $150 a month.

Turning it on

If you choose healthcare when you sign up, HIPAA mode is turned on for you. You accept our business associate agreement (BAA) on behalf of your practice to continue.

You can switch it on or off during signup, until your plan starts. Switching it off asks you to confirm that you won't discuss patients' health information on calls. After your plan starts, contact us at [email protected] to change it.

What it changes

Voices and languages

  • Your receptionist uses Standard voices, which the BAA covers.
  • It answers in English and Spanish.
  • Your own voice and the voice library are not available.

Alerts

  • Emails and notifications leave out callers' details. You see them when you sign in to Vocenya.
  • Your team sees "Vocenya call" as the caller name, and transfer briefings leave out the reason for the call.

Integrations

  • Calendars, CRMs and field-service tools: you confirm you have a BAA with that provider before connecting it. Vocenya only sends a caller's name, phone number and appointment time, never the reason for the call.
  • Slack messages only say what happened, with the last four digits of the number.
  • Notion is not available.

Messages

  • WhatsApp is not available.
  • Texts are limited to short fixed notices, with no AI replies. Texting.
  • Website chat stays on our BAA-covered systems.

Outbound calls

  • Speed-to-lead calls are off, campaigns are limited to appointment reminders, and marketing calls are not allowed.

What stays the same

You still see call summaries, transcripts and caller details when you sign in to Vocenya. Recordings play on plans that include them.

Questions

Do I need HIPAA mode as a vet?

Veterinary practices are not covered by HIPAA, so HIPAA mode is not turned on for them automatically.

Can I turn HIPAA mode off later?

During signup you can switch it yourself. After your plan starts, contact us to change it.
